Experienced Office Administrator - FILLED
Staff Systems is currently recruiting for an experienced Office Administrator to ensure the overall smooth running of their client's office while providing Head Office support and reception coverage.
Considered the “Director of First Impressions” the Office Administrator is proud to be the first line of contact. With the variety of duties, changing schedules of the management team, and acting as a central source of corporate information, the nature of the position is flexible with changing priorities and a need to shift from task to task quickly.
Contact with a wide variety of people including the general public and senior level people in other organizations is significant. Due to the diversity of interactions, the Administrator has knowledge of highly confidential information and is expected to use discretion.
Key Responsibilities:
- Provides administrative assistance for the management team such as
- general correspondence, computer presentations, meeting scheduling and
expense reports.
- Coordinates Board documents, signatures, meetings and calls. Liaises
with legal counsel.
- Answers incoming telephone calls, provides general information when
appropriate, directs callers to the appropriate person, takes messages,
and forwards calls as appropriate.
- Greets, assists and directs visitors to the appropriate person or meeting
room.
- Maintains general office filing and organizational systems.
- Coordinates Corporate Travel.
- Coordinates Corporate Events.
- Coordinates registration and attendance at trade shows.
- Provides Human Resource support including posting ads, reviewing incoming
resumes, maintaining personnel files, maintaining the organization chart,
and other HR tasks as assigned.
- Coordinates and orders office supplies, including occasional travel
to pick up supplies.
- Coordinates contracts with office supply providers.
- Carries out other related projects and tasks as assigned.
- Supports the President in execution of his role(s) including sales and contact administration and other tasks as assigned.
Skills and Requirements:
- Experience: minimum of 5 years’ experience as an Office Administrator or similar role.
- Ability to handle confidential information.
- Demonstrated high level of service, commitment and proactivity
- Excellent oral and written communication skills in English are required.
- Excellent time-management and organizational skills, and attention to detail.
- Ability to complete multi-step tasks to completion with minimal supervision.
- Ability to work independently and as part of a team.
- Strong knowledge of a variety of computer systems including spreadsheet, word processing and database software.
